TERMS AND CONDITIONS:
DEFINITIONS
The following definitions have the same meaning whether they are singular or plural.
« Guest », « User », « Member » or « Person » means a customer who books and/or reserves one or more services offered on the Site or through any online travel agency.
« Primary Guest » means the individual 21 years of age or older who signs the rental agreement / responsible for all guests.
« Haven Hill » – means Haven Hill – Unipessoal LDA, headquartered at Rua Ilha do Pico, Nº 7 9900-157 Parish of Matriz, Municipality of Horta – Faial Island – Azores.
«General Terms and Conditions» means these general terms and conditions for booking and use, as amended from time to time.
«Service» means a hosting service or other services.
«Owner» means the owner and manager of Haven Hill offered for rent.
«Site» means www.azoreshavenhill.com.
RESTRICTIONS
– Occupancy numbers are strictly enforced. Do not exceed the maximum allowable number of occupants in a property.
– House parties and large unauthorized gatherings are prohibited (Any events or gatherings with persons not described in the booking list require special approval from Haven Hill Unipessoal LDA);
– Non-smoking property (smoking only allowed in designated outdoor areas/pool terrace/balconies/other).
– No pets allowed.
– All guests must be 21 years of age or older to enter into the Rental Agreement.
Maximum Capacity: 7 Adults
Adults Age: 13 years and older.
Children Age: 2 to 12 years.
MINIMUM STAY
There is a 7 night minimum stay for advance bookings at all properties. – Haven Hill – Unipessoal LDA may make exceptions to the 7 night minimum stay rule, if requested by the guest and at the sole discretion of Haven Hill – Unipessoal LDA, if they are able to offer this exception.
CHECK-IN/OUT
Guests will be received directly at Haven Hill by the Haven Hill – Unipessoal LDA reservation manager, for their official check-in. He will present the property and all the equipment.
All guests must provide identification upon check-in (such as passport, ID, driver’s license or other) for registration.
Check-in time is after 3pm. Check-out time is from 8:00 am to a maximum of 10:00 am.
We must strictly follow the designated Check-out times to prepare the property for the next Guests; times are not flexible and late check-out time will result in a minimum charge of 50% of the nightly rate if guest stays after check-out time of 10am, and a full day rental if guest stays beyond from 15:00.
The person responsible for the reservation at Haven Hill must be informed in good time of the Check-out time so that he can verify the conditions of the property and receive the keys.
In some cases, Haven Hill may authorize Early Check-in, or Late Check-out, but this is done strictly on a case-by-case basis and in no way supersedes the Check-in and Check-out Policies and Fees set out above. .
If Guests arrive before 3:00 pm Check-in, they can go directly to Haven Hill – Unipessoal LDA (address indicated in the rental contract) to leave their luggage until Check-in. They must previously inform the person responsible for the Haven Hill reservation, the estimated time of arrival.
Guests can request an early check-in up to 24 hours before arrival or a late check-out up to 24 hours before departure. If the guest books an Early Check-in or a Late Check-out before 6 pm, half a day’s rent will be charged.
Any Check-in before 3 pm or Check-out after 10 am is subject to approval.
INVENTORY / ARRIVAL AND DEPARTURE AGREEMENT
It is important to complete an inventory available at the house
. This document provides a description of the house that is rented. It contains a list of all equipment on the property.
It is the lead guest’s responsibility to ensure that all items in inventory are accounted for.
The lead guest must notify the Haven Hill reservation manager or property owner if any items are missing or found to be in an unusable condition within 24 hours of the arrival date.
The primary guest will be responsible for any lost or damaged items within 24 hours of guest leaving the property.
BOOK YOUR STAY
After booking a property with Haven Hill, the Guest will receive a booking confirmation email and then separately their Booking Confirmation – Rental Agreement and Policies.
The guest will also receive an email from Haven Hill which will provide valuable information about their rental and booking property, as well as facilitate communication between the guest and the manager of Haven Hill.
Minimum of two days notice for booking requests – Haven Hill Unipessoal LDA may make exceptions to this notice rule if requested by the guest and at Haven Hill Unipessoal LDA’s sole discretion if they are able to provide such an exception.
PAYMENT TERMS
To secure your reservation, a partial payment of 50% of the total balance is due at the time of booking through bank transfer using the following details:

The outstanding balance must be paid in full on the arrival date.
The Guest will be permitted to enter the rental property, and the keys will be handed over to the Guest once the full balance of the rental has been collected.
Haven Hill accepts payments by bank transfer only.
Haven Hill accepts direct bank deposits into company bank account except cash payments.
If the Guest chooses to pay by bank transfer, Haven Hill will provide the Guest with full bank details and the Guest will advise Haven Hill once the transfer has been processed by sending an email with the transaction details and confirmation to the following email address email: azoreshavenhill@azoresproperties.com.
GUARANTEE
Guest must provide ID and credit card details as a guarantee. will be communicated to the guest prior to the transaction).
The cost of any damage to the property or any items on the property caused or any service charges incurred by the Guest or any member of the Guest’s party will be deducted by Haven Hill from the credit card details provided by the Responsible Guest at the end of the Guest’s stay. Guest.
HOUSEHOLD CARE AND LINEN
Haven Hill offers cleaning service whenever requested by the Guest.
Haven Hill has a basic supply of bed linen and towels available to Guests (sheets on each bed, 1 towel and 1 washcloth per person up to the capacity of the property, and hand towel(s) in each bathroom).
Towels will be changed every 3 days and bed linen will be changed every 5 days or for each booking. A more frequent change of towels or sheets must be requested by the Guest to Haven Hill, via email before check-in or during the stay.
SERVICE RIGHT
Haven Hill reserves the right to refuse service to any person. Haven Hill is rented without regard to race, color, religion, gender, national origin, disability or sexual orientation.
MAXIMUM OCCUPANCY
Haven Hill has established and published occupancy limits for each unit and strictly enforces these limits. If a Guest exceeds these occupancy limits, Haven Hill may enforce its right to cause the Guest and his party to vacate the property immediately, with all monies paid.
Maximum Capacity: 7 Adults
Adults Age: 13 years and older.
Children Age: 2 to 12 years.
Infant age: 0 to 2 years.
RENTAL PROPERTY USE
Haven Hill rents the property to individuals and groups according to the maximum occupancy and suitability of each Guest for their property.
Absolutely no house parties, events, receptions or large gatherings are permitted unless approved by Haven Hill. 48H notice required. For requests or questions, please contact Haven Hill via email prior to check-in.
Only Guests whose names are on the rental agreement may occupy the rental property.
Excessive noise, overcrowding, unauthorized gatherings and unapproved Guests may result in the Guest being evicted from the rental property, all monies paid.

CANCELLATION POLICIES AND FEES
Once the reservation is confirmed upon payment and if the Guest is unable to fulfill its obligation to occupy the Rental Property, Haven Hill must be notified as soon as possible.
Cancellation requests must be sent by email to: azoreshavenhill@azoresproperties.com.
Cancellations and modifications can be made up to 90 days prior to arrival at no cost.
Cancellations and modifications made within 90 days of the arrival date will incur a charge of 50% of the total price of the reservation.
CHANGES
Haven Hill will inform guests promptly of changes to their rental agreements. Changes to the travel contract which become necessary after the contract has been entered into and which are not made in bad faith by Haven Hill are permitted, provided they are not significant and do not affect the overall character of the travel booked.
The same rights apply to amended agreements as applied to original agreements.
FORCE MAJEURE
Haven Hill regrets that we cannot accept liability or pay any compensation where the performance or prompt fulfillment of our contractual obligations is prevented or affected or you or you suffer any damage or loss as a result of “force majeure”.
In these Booking Conditions, “force majeure” means any event that we or the provider of the service(s) in question cannot, even with the utmost care, foresee or avoid. Such events may include war or threat of war, riot, civil conflict, actual or threatened terrorist activity, industrial dispute, natural or nuclear disaster, adverse weather conditions, fire and all similar events beyond our control.
TRAVEL PROTECTION/TRIP CANCELLATION INSURANCE
Haven Hill strongly recommends that guests obtain and take out a form of trip cancellation insurance to protect their vacation investment against injury, illness, job loss or death and other covered unforeseen circumstances that may cause confirmed reservation cancellation and loss of payments. We recommend that all Guests purchase this cover for greater financial protection in cancellation situations where we are unable to refund payments.
LISTS AND PRICES
Guest is responsible for reviewing the property description, photos, location, and online amenities listing for this property to confirm it will meet their group’s needs. Information on individual listings is believed to be accurate but cannot be guaranteed.
We have made every effort to ensure that all information on the website is current and accurate. There is the possibility of errors and omissions. We will be happy to confirm all the details contained herein or answer any questions you may have before making your reservation.
Prices include VAT (tax at time of purchase) and are subject to change. Rates, furniture, fees and taxes are subject to change without notice. Prices on the website are shown in EUR.
ACCESS TO HAVEN HILL
The ‘primary guest’ must inform all members of their party that all doors and windows must be locked, including the garage doors, front door and all doors leading to the pool area.
Our home is protected by a monitored security alarm system. The alarm MUST be activated whenever our home is left unattended.
Haven Hill employees or their agents shall have access at any reasonable time during the guest’s stay.
SWIMMING POOL RULES AND REGULATIONS
Diving is not allowed;
The guest must walk carefully and not run around the pool;
Guest should be aware of the pool depths located on the pool sign beside the pool or on the pool warning diagram located by the pool;
Haven Hill prefers that the guest does not enter the pool with large amounts of sunscreen/tanning oil on the skin;
Swimming at night is not recommended;
Haven Hill advises not mixing eating and drinking with swimming;
Breakable items such as glasses, glass bottles, etc. are not allowed around the pool;
Indoor furniture must be kept inside the house and not taken into the pool;
Visitors must not lift or remove pool filter covers;
Guests must not try to fix anything themselves.
POOL SAFETY FOR CHILDREN
Children must never be left unsupervised in the pool or around the pool area.
Always check the depths;
Guests must protect their children and ensure they remain in view at all times, especially young children and poor swimmers;
Visitors must be aware of any changes in depth in the pool;
Haven Hill asks guests to discourage children from running on slippery surfaces;
Guests should ensure weak or unskilled swimmers use proper buoyancy aids, although these should not be considered a substitute for vigilance and supervision.
INFINITY POOL RULES
Also called Horizon Pools, they are increasingly popular because they offer incredible views from inside the pool and its surroundings. Due to their design, however, some have significant drops from the far edge. The Haven Hill safety precautions suggested above are particularly relevant with infinity pools and we would like to take this opportunity to emphasize:
No standing or walking around the edge;
Guests may not use any inflatable objects (eg rings or lilos) in infinity/horizon pools;
No diving is allowed;
Children must be accompanied in the pool at all times and supervised at all times;
Swimming at night is not recommended.
OTHER ADDITIONAL POOL RULES
Adults use the Pool Area at their own risk.
Children under the age of 16 can use the pool area only with the consent of their adult guardian. Unless accompanied by an adult supervisor.
All adult members must ensure that, unless accompanied by an adult supervisor, all doors and windows leading to the pool and hot tub area are locked at all times.
The pool is open to all users:
a) Persons who are able to swim,
b) Children under 16 years of age may only use the Pool Area with authorization from their legal guardian. If children cannot swim, they must always be accompanied by a responsible adult.
c) Persons with disabilities who require the presence of their guardian may enter the Pool Area only accompanied by their guardian.
Children under 4 years old need waterproof diapers at all times.
The use of the Pool Area is not allowed by:
a) Persons under the influence of alcohol, drugs or any intoxicating substance;
b) Persons with visible skin damage;
c) Persons who endanger the safety and health of others;
d) Persons with unacceptable standards of personal hygiene.
e) Children under 4 years old always need waterproof nappies.
f) The Pool Area can be used by children over 16 years of age without the supervision of a guardian, only when the guardian can confirm their acceptable swimming capacity.
g) Any person suffering from a known serious medical condition (eg heart disease, severe circulatory problems, epilepsy or breathing problems) must seek medical advice from a physician before entering the Pool Area.
h) Pool Area users must shower before and after using the Pool.
i) All users of the Pool Area must behave appropriately, with good hygiene standards.
Any pool contamination will result in the following financial penalties:
a) Outdoor pool: 750-1000 EUR.
No person within the Pool Area should behave in a way that compromises the safety and health of themselves and others. Any unruly behavior that could be dangerous is strictly prohibited. Diving, running, jumping, pushing and playing is not permitted in and around the pool area. Screams or screams, which may distract attention from an emergency, are also not allowed.
Users who do not comply with the Rules and Regulations will be removed from the Pool and subject to a penalty of up to EUR 500, which may result in the Guest being expelled from the rented property.
Parents or legal guardians of minors under the age of 18 are responsible for damages suffered by their children.
Haven Hill and its employees are not responsible for any accidents occurring in the pool area as a result of failure to comply with the Rules and Regulations.
Always make sure that children do not swallow the pool water: this treated water can cause vomiting and even intoxication.
